Primary Purpose:
Ensure efficient operation of school administrative office and provide clerical services for program administrative staff.
Qualifications:
Education/Certification:
High school diploma or GED
Fifteen (15) hours of college credit, preferred
Two years experience of secretarial experience, required
Special Knowledge/Skills:
Proficient skills in various Microsoft Office programs and file maintenance skills
Effective organizational, communication, and interpersonal skills
Knowledge of school district organization, operations, and administrative policies
Knowledge of basic accounting principles
Major Responsibilities and Duties:
Records, Reports, and Correspondence
- Prepare written correspondence, forms, schedules, or reports using personal computer.
- Prepare instructional materials, meeting agendas, and programs communication as requested, using typewriter or personal computer.
- Compile information for preparing various reports for the office.
- Maintain a daily teacher attendance log and records for CEHI teachers.
- Process CCS & OAG paperwork.
- Maintain program records and prepare records for destruction/record retention.
- iTCC data entry for PRS, PEP and homeless student (enrollment & withdraw from program).
- iTCC data entry for CEHI attendance.
- Monitor and process personnel time records including leave requests and reports. Compile information and submit to central office according to established deadlines.
- Maintain program calendar of events.
Reception and Phones
11. Schedule meetings and appointments and maintain calendar for supervisor.
12. Assist students, teachers, and parents as needed.
13. Receive incoming calls, take reliable messages, receive mail, and route to appropriate staff.
Files
14. Maintain physical and computerized files including mailing lists, student records, visitor logs, and office communication.
15. Update handbooks, policy manuals, and other documents as assigned.
Accounting and Inventory
16. Perform routine bookkeeping tasks including simple arithmetic operations to maintain program budget records.
17. Prepare and process purchase orders, work orders, monthly childcare billing, and staff mileage.
18. Receive, store, and issue supplies and equipment.
19. Assist with coordination of staff meetings and program activities.
20. Assist with program budget preparation.
21. Maintain inventory of fixed assets, equipment, and supplies.
Other
22. Sort, distribute, or deliver mail and other documents.
23. Maintain confidentiality.
Equipment Used:
Personal computer and peripherals, copier, fax machine, and calculator.

Maintain emotional control under stress; work with frequent interruptions. Repetitive hand motions; prolonged use of computer.
